Send customer messages

Set up email and texts for receipts, order updates, and reminders. Choose which messages your store sends. Check who will receive a message before you send it.

Where to find it

Open Settings > Communications, then choose Email or Text Messaging. A direct email or SMS settings link is redirected to this tab with the matching channel selected.

Before you start

An admin sets up email and texts. You need an email service and sender address. Text Messaging needs its add-on, business review, and customer consent. A phone number alone is not consent to text.

Set up email and texts

  1. Open Settings > Communications. Choose Email.
  2. Follow the email setup flow. Enter the sender name, sender address, and details for your email service.
  3. Use Test Email Account Connection. Check the result, then save.
  4. Choose the receipts, invoices, reminders, and order updates you want to send. Check the review link if you use it. Choose Save Settings.
  5. For texts, open Text Messaging. Choose a new number or check an existing business number.
  6. Read the shown charge and finish the business and consent details. Wait for the review to pass before turning on sending.
  7. Choose the text rules your store needs. Record the customer’s consent before sending an order text.
  8. Use the inbox to read and reply to a customer. Honor STOP requests.

Check an invoice email

New order emails use your Store Name as the business name. Yard names stay with the sale, pickup, or delivery details. Check a new preview after changing the store profile.

An unpaid invoice shows Pay Now Online only when an online payment method is ready. A card reader alone does not set up online payments. An ACH-only setup can offer a bank payment link. A paid order or quote has no Pay Now link.

Find hosted email sends with the email history guide. A sent result does not prove the customer read it.

Email sender and yard names

The sender name and address tell customers who sent the email. Store Name is the business name shown in new order emails. The saved order location tells the customer which yard handles pickup or delivery. For example, an email can come from Northside Supply and show West Yard as the pickup location. Changing the sender or Store Name does not move the order to another yard.

FieldGuidance
Email providerChoose the provider configured for transactional mail. Advanced SMTP uses port 465 with SSL or port 587 without SSL for STARTTLS.
From Name / From EmailUse a recognizable sender and an address accepted by the provider.
Auto-send receiptSends an itemized email when an order is finalized or paid, subject to a customer email address.
Text Messaging master switchControls sending after the number and carrier registration are ready. Keep it off while setup is incomplete.
Customer consentRequired before order-related texts. FlintPOS records the phone, order, disclosure, source, and time for the consent.

Check a message

Check that the right customer received the right message. Email needs a valid address and a ready mail service. Texts also need consent and a ready number. FlintPOS skips texts when consent is missing.

If a message does not send

  • For email, test the saved connection. Check its server, port, login, and secure-connection choice with your email service.
  • For texts, read the item that still needs review. Fix that item before you submit again.
  • Check that the message rule is on and the customer has the right email or phone.
  • For texts, check that the customer agreed to receive them.
  • If the wrong thread opens, return to the inbox and choose the right customer.
