Give each staff member their own account

Create an account for each person. Choose the role and yards they need for their job. Their account controls what they can see and change.

Where to find it

Open Settings > Users. Users sign in with the merchant account email, their assigned username, and password.

Product locationSettings > Users

Before you start

Admins create and edit users. Have the employee's name, username, role, and location access ready. Dispatch Pro adds driver truck qualification and hourly-cost fields for driver users.

Add a staff member

  1. As an admin, open Settings > Users. Choose Add User.
  2. Enter Full Name, a unique Username, and a password that meets the shown rules.
  3. Choose the role for the job: admin, manager, staff, driver, terminal, or loader as offered.
  4. Choose All active locations or Only selected locations. For selected locations, check each yard the person needs.
  5. For a driver, enter Hourly Cost if needed. With Dispatch Pro, choose the trucks and trailers the driver is qualified to use.
  6. Add an email if needed. Choose Create User.
  7. To change an account, use Edit. Leave New Password blank to keep the current one.

Role and yard access are separate

Role controls which tools and actions a user can use. Location access controls which yards the user can open. For example, a Salesperson assigned only to East Yard can use the sales tools there, but cannot work in West Yard. Giving a user all active locations lets them choose a physical yard. Only admins and managers with that access can use the company-wide All Locations view, and it is read-only.

Account choices

Roles and access
ChoiceMeaning
RoleChoose a role that allows the person to do their job. Terminal and loader accounts have fewer tools.
Location accessChoose all active yards or only the checked yards. Staff can work only where their access allows.
PasswordEnter a password for a new account. Follow the rules shown beside the field.
Hourly CostFor a driver, enter the cost per hour you want to use in delivery costs. Use zero or more.

Check the account

The staff member can sign in with the company email, their username, and their password. Check that they can open the work and yards they need. Deleting a user blocks future sign-in and cannot be undone.

Troubleshooting

  • If creation is disabled, complete the name, username, password, and at least one chosen location when needed.
  • If a driver cannot be assigned to a planned trip, review the driver's location access and qualified delivery assets.
  • If a user cannot sign in, confirm the merchant account email, username, password, and active status. Do not share sign-in details in a message.
