Use TaxJar for sales tax

Connect TaxJar to calculate tax by address and send allowed sales and refunds for tax reporting.

Where to find it

Open Settings > Tax Rates and find the TaxJar settings, or open Settings > Add-ons when TaxJar is still inactive.

Product locationSettings > Tax Rates

Before you start

An admin needs an active TaxJar add-on and the token for the right TaxJar account. Use Live for your store. Use Sandbox only for planned test work.

Steps to follow

  1. Activate TaxJar from Add-ons if the TaxJar settings are not available.
  2. Open Settings > Tax Rates, choose Sandbox or Live, and enter the provider token without sharing it in a note.
  3. Choose Use TaxJar at checkout when TaxJar should calculate checkout tax. Select Save & verify. Then use Test connection to confirm the saved setup.
  4. Set the product's TaxJar Product Code in Taxes when a product needs a provider-specific classification.
  5. For reporting backfill, enter a start and end date no later than today, preview the candidate orders and refunds, and select Include all FlintPOS history only when the full history is intended. Review the warning before selecting Backfill Transactions.
  6. Run a known taxable address through a quote or order and compare the result with the expected jurisdiction before you use the integration.

TaxJar tokenEnter the token requested by the current form. The saved secret is not returned to the browser as ordinary text.
Use TaxJar at checkoutWhen enabled, TaxJar controls checkout tax and local Tax Rates is hidden. Leave it off when the store should continue using local FlintPOS rates.

Backfill date windowStart and end dates select report sale records. The end date cannot be in the future. Preview the affected orders and refunds before sending.
Include all FlintPOS historyAdvanced opt-in for a whole-history reporting backfill. Use it only after reviewing the provider warning and the preview.
Reporting basisCash basis waits until an order is fully paid and sends the complete order dated to final payment. Partial payments remain in FlintPOS cash reports without separate TaxJar sale records. Accrual basis sends allowed completed or delivered orders even when unpaid.
TaxJar Product CodeSet product classification in Taxes. It is not the same as a local sales-tax percentage.

Check a refund in TaxJar

  1. Record the refund through the order's refund flow.
  2. Open the TaxJar Transaction Sync view. Check Recent synchronization.
  3. Wait for a pending event to finish. If it fails, read the message and use Retry when offered after you fix the cause.
  4. Check the refund in your TaxJar account if its report is missing it.

FlintPOS can recover missing refund sync events and keep each refund tied to its original tax amounts. A synced event means the connector accepted it. Check TaxJar itself for its report and filing status. Do not issue a second refund to repair a sync event.

Check the result

Check that the connection test passes. Build an order with a known address and review its tax. When TaxJar is on for checkout, FlintPOS hides local tax rates and uses TaxJar.

Sending older sales to TaxJar does not rewrite their saved tax in FlintPOS. Review each sale or refund status in Recent synchronization. A pending result still needs to finish.

If tax or sync looks wrong

  • Check that the token and the Sandbox or Live choice belong to the same TaxJar account.
  • If the setting is missing, check that the TaxJar add-on is active.
  • If the tax is wrong for a product, check its TaxJar Product Code and test a known address again.
  • If no older sales appear in the preview, check the dates and reporting basis.
  • Read a failed sync message before you retry. Contact support if the cause is unclear. Keep the saved sale and refund history.
