Purpose

Use Trucks to set up delivery vehicles and trailers. Dispatch Pro checks each vehicle’s status, location, capacity, material type, trailer fit, timing, and driver skill.

Base Delivery Fee ($ / trip) is charged once for each trip that uses a truck. It is added before mileage or drive-time fees. Enter your per-trip amount, not a package price.

Where to find it

  1. Open Settings.
  2. Choose Trucks or Delivery Vehicles.
  3. Select Add Vehicle or Add Trailer, or use Edit on an existing asset.

Dispatchers can also assign, move, pair, dispatch, and return these vehicles on the Delivery Board.

Product locationSettings > Trucks · Deliveries > Delivery Board

Prerequisites and availability

  • You need a role that can manage trucks to add or edit them. Dispatch Pro fields show only when it is on.
  • A powered vehicle is required to tow a trailer. A trailer cannot be assigned as a standalone powered asset.
  • Only assets marked In service can be planned or assigned by Dispatch Pro. A returned vehicle may require the board to refresh before it appears as an option.
  • Drivers must be qualified to use the truck and any trailer before Dispatch Pro can assign them.

Setup and operating steps

  1. Select the asset type and enter a clear vehicle or trailer name. The name is required.
  2. For Dispatch Pro, choose a delivery location. Leave Dispatch Location floating if the vehicle can work from any location.
  3. Enter the license plate. For a truck, add a default driver and phone if you use them.
  4. For a powered vehicle, enter maximum stops, maximum volume, maximum weight, and the base delivery fee. Leave maximum stops blank when there is no stop-count limit. A blank or zero base fee adds no truck-specific amount.
  5. Mark whether the vehicle can tow trailers and select compatible trailers. On a trailer, select the powered vehicles allowed to tow it.
  6. Choose what the vehicle can carry. Use Loose bulk for mulch, stone, soil, and other dumped goods. Use Palletized material for pallets. A crane also turns on palletized capability.
  7. For a truck, enter fuel and maintenance details. Add compartments for separate products. Set each one’s yards and optional ton limit.
  8. Enter load, unload, and, for trailers, hookup and unhook minutes. Save the asset, then mark it In service when Dispatch Pro should use it.
  9. Create a test delivery with a known load. Confirm the assigned truck, per-trip fee, capacity, and timing before relying on automatic plans.

Capacity, compatibility, and fees

Dispatch Pro checks each load against max volume, weight, stops, and compartments. Enter product measurements in Delivery Product Capability. A large load may split into more trips if the split setting allows it. A lower estimate does not raise truck capacity.

When more than one truck can carry a load, review the suggestion. Choosing another truck updates the trip preview and fee. A truck with a fee may stay selected so the saved truck and fee match.

Base delivery fee

Enter the amount that should be added once for each planned trip using this powered truck. A two-trip order can therefore have two truck base-fee charges, one for each trip’s assigned truck. A mixed-truck order uses the fee belonging to each individual trip.

The base fee is added to the delivery tier or other price. It does not replace mileage or drive-time fees. It is separate from dump, pallet, and product service fees.

A custom fee, selected tier, or waiver in Set Delivery Details stays in place until staff changes it or chooses Use calculated fee. Replanning updates the fee line. It does not add a duplicate.

Schedule truck downtime

  1. Open Settings > Trucks > Delivery Vehicles and choose Manage planned downtime on a powered truck.
  2. Enter the first day off, the first day the truck can return, and a reason. Leave the return date blank when you do not know it yet.
  3. Choose Add downtime. Use Edit or Cancel downtime to change an active plan.

Dates use the merchant's local calendar. Downtime covers full days from the start date up to, but not including, the return date. Partial days are not supported. Planned downtime blocks new Dispatch Pro plans and Storefront delivery options. Existing deliveries stay saved and are flagged for review; FlintPOS does not move them to another truck.

The truck must also be marked In service after maintenance. Overlapping downtime entries can keep a truck unavailable after one entry is canceled.

Set a truck's service area

  1. Edit a powered truck in Settings > Trucks.
  2. Under Truck routing preferences, choose Any area, Inside area, or Outside area.
  3. For Inside or Outside, choose Draw boundary, add at least three points on the map, then save it. Choose Redraw boundary to replace it.
  4. Choose Inherited, Avoid, or Allow for highway routing, then save the truck.

A restricted truck needs a confirmed delivery address location. If FlintPOS cannot check the address, it will leave that truck out of the plan. Trailers use the service-area and highway settings of the powered truck that pulls them. Avoid and Allow are route preferences; the map service may not follow them on every route.

A later change does not move saved deliveries. Review any warning on the Dispatch board and update the plan through the normal delivery workflow.

Block bookings for a truck or trailer

  1. Open Settings > Trucks and choose Manage planned restrictions. Dispatch Pro must be enabled.
  2. Name the restriction and choose Storefront only or All booking channels.
  3. Choose the first blocked date and the first date bookings can resume. Select the trucks or trailers the rule covers, then save it.
  4. Use Edit or Cancel restriction when plans change. Add new vehicles to the rule yourself; new vehicles are not added automatically.

The start date counts as blocked; the return date does not. Storefront-only rules leave internal booking available under the usual checks. All-channel rules also block new internal bookings and assignments. Existing deliveries stay saved and appear for staff review.

A manager can approve an exception for one saved load and enter a reason. It does not remove the rule for other work or skip checks for truck status, downtime, capacity, area, or driver skill.

Use assets on the Delivery Board

After assets are configured, use Deliveries and dispatch board to work the day’s delivery routes.

Expected results

Dispatch Pro shows a vehicle only when it passes checks for status, location, capacity, material, trailer fit, and driver. Each trip shows its truck and that truck’s one-time base fee.

Troubleshooting

  • Asset is missing from the planner: mark it In service, check its dispatch location, and refresh the Delivery Board.
  • Trailer cannot be paired: set the powered vehicle’s towing capability and select the same compatible pair on the trailer.
  • Capacity is rejected: compare product weight and volume with the truck and compartment limits; product measurements belong in Delivery Product Capability.
  • Fee is wrong: confirm the trip’s assigned powered truck. A truck base fee is per physical trip and is independent of the delivery mileage or drive-time tier.
  • Driver cannot take the rig: verify qualifications for both the powered vehicle and attached trailer, then check the driver shift and location.
