Purpose

Use the Delivery Board to plan each day. Choose the date and location. Review work without a truck, assign stops, plan routes, print driver papers, and track delivery status.

From an order, staff can set its address, date, time, truck, and fee. They can also add files or create a parcel label when the order ships by parcel.

Where to find it

  1. Open Deliveries from the merchant workspace for the daily board.
  2. Open an order or choose its delivery action to edit the delivery details, date, address, truck, fee, and time window.
  3. Use the shipment action on an order when the fulfillment method is parcel shipping.

Prerequisites and availability

  • Staff need access to Deliveries and Orders. A manager or admin may be needed to change delivery settings, fees, or map areas.
  • Dispatch Pro needs delivery locations, product data, trucks, trailers, driver qualifications, and shifts. Without it, staff can still set dates, assign trucks, and run the board by hand.
  • Only active compatible trucks and trailers appear for assignment. An origin filter can limit the board to one delivery location.
  • Shipment rates and labels require Shippo setup. See Shipping and labels.

Run the daily delivery board

  1. Choose the board date with the previous-day button, next-day button, or date picker.
  2. Choose Working location for dispatch when dispatching one origin. Review the unassigned queue and the trucks available for that origin.
  3. Open Delivery map or Schedule changes when you need a geographic view or date-change audit.
  4. Assign each stop with Assign to truck, or select stops and use the pairing suggestions. Review capacity and origin before saving.
  5. Use truck actions to print driver papers, message the driver, move a trip, dispatch the route, or mark it back at the yard.
  6. Dispatch the route after every stop is loaded. If texts are on, choose to send the delivery-is-on-the-way text or dispatch without it. FlintPOS skips customers without recorded consent.
  7. Track the stop until the driver marks it Delivered. Use the order details and delivery attachments to review proof and notes.

Schedule or update a delivery

  1. Enter or confirm the customer and delivery address. A delivery estimate may require a complete address.
  2. Choose a delivery date. With Dispatch Pro time slots enabled, choose an available slot; otherwise enter a start and end time window.
  3. Choose a truck and, when offered, an attached compatible trailer. Leave the truck unassigned when dispatch will decide later.
  4. Review the calculated delivery fee. Use the fee controls only when the order needs a different tier, custom charge, or waiver.
  5. Choose whether to schedule now or use Do not schedule when the order should retain a delivery address and fee without a date.
  6. Save and confirm the schedule. When moving an existing delivery, enter a reason and select the notification choices shown by the form.

One order can have pickup now, Future Will Call, and delivery. Set the split in Orders before planning its delivery part.

Review the board across several days

  1. Open Deliveries and choose 1–7 day view on the Dispatch board.
  2. Set the From and Through dates. Use a range of up to seven days.
  3. Choose a Vehicle, Driver, or Carrier filter to find work. Clear filters to see all matching loads.
  4. Review each date and open a delivery to make a change through its usual schedule controls.

The selected location controls what you see. The date range does not move a delivery or save another date. Flexible dates may show as Eligible windows · not reserved. These are choices for the same delivery, not extra bookings.

Schedule a flexible delivery date

  1. Open the delivery scheduling controls with Dispatch Pro enabled.
  2. Choose Customer can accept a date range.
  3. Enter the earliest and latest dates the customer can accept. Keep the scheduled date inside that range, then save.
  4. Use the multi-day board to review other eligible dates. If the delivery is eligible today and has room in the schedule, choose Apply to today to move the same delivery.

Only the saved scheduled date reserves capacity. Other dates in the range are not booked. When you move a delivery, FlintPOS checks the date, time window, truck, driver, and capacity again. Started or completed work cannot use Apply to today.

Review late and at-risk deliveries

Open an alert to review the date, location, delivery window, truck, and current estimate. Use the schedule controls to make a change.

  • Late means the saved delivery deadline has passed in the origin's local time.
  • At risk means the current estimate is after the deadline, but the deadline has not passed yet.
  • Drivers see Late orders in a list below their route stops. They can open a late order to return to its date and stop. At-risk notes appear near the top of the driver view.
  • External-carrier alerts appear for dispatch staff, not in the driver route. Alerts do not send a text or email.

Improve the stop order in a paired trip

  1. Open a saved paired trip with at least two stops.
  2. Choose Time to reduce driving time or Miles to reduce distance.
  3. Review the proposed stop order and save it when it fits the delivery windows and work plan.

Optimization changes the stop order inside that trip. It keeps the truck, date, driver, and trip pairing. It is available only before the trip starts, and the route setup must be ready. If no safe improvement can be found, the saved order stays as it is. Drivers can choose Shortest time or Shortest distance, then select Optimize on their assigned paired trip.

Schedule an outside carrier

  1. In Settings > Delivery, turn on Enable external deliveries.
  2. Add a carrier and service. Enter the usual customer charge per load, or leave it blank when the amount is not known yet.
  3. On the delivery order, choose the carrier option. Select the carrier, service, address, origin, date window, and exact product quantities for that load.
  4. Review the customer charge. A blank amount is shown as TBD, not $0. A saved $0 charge means a manager confirmed that the customer will not be charged.
  5. Use Loader to mark the load ready, then record the Carrier handoff when the carrier takes it. Record delivery after the carrier confirms it arrived.

These fees are what the customer pays. FlintPOS does not book or track freight or pay the carrier. If the fee is TBD, an authorized manager can add the amount through the protected order edit. FlintPOS does not collect it automatically. Resend the invoice when needed. For orders with pickup, Will Call, and delivery, see Orders.

Find and prepare work in Loader

  1. Open Loader, choose a yard you can access, then choose the service day.
  2. Choose Pickup, Will Call, Delivery, or Carrier to see that kind of work.
  3. Check the order, product, quantity, yard, and Load N of M label before loading. For future Will Call, use the promised date; choosing a future date does not allow early pickup.
  4. For a barcode check, scan the order or look it up, then scan the product or enter its SKU. If the product appears on more than one line, choose the exact line and load. Enter the quantity and choose Confirm.
  5. Refresh the task to see saved check progress. Then use the correct separate pickup, delivery, or carrier action to record what physically happened.

A barcode check records what was checked. It does not change stock, release Will Call, load a truck, hand off a carrier load, or mark a delivery complete. The same Load N of M label appears in Dispatch, the driver app, and Loader. Filtering the board does not change a saved load's label.

Loader can show the order again when due Will Call or active delivery work remains. It shows only the amount still due at that location and on that service day. A future Will Call order cannot be released early by choosing a later Loader date.

Review delivery fee choices

FlintPOS calculates the fee from the saved tier and any area rule. Staff can choose another zone, set a custom fee, waive the fee, or choose Use calculated fee to return to automatic pricing.

A chosen tier or custom fee stays in place when the schedule, date, products, address, or location changes. It stays until staff changes the choice. Without a manual choice, FlintPOS keeps recalculating. See Delivery Fees > Manual overrides.

Configure delivery areas

In the delivery area editor, choose Add area, name it, and draw a shape. Mark it No delivery or add a surcharge. For a circle, enter its radius. Choose the locations it covers and set its priority. When surcharge areas overlap, the higher priority applies. A no-delivery area always blocks delivery.

Save the area, refresh or generate the map, and test a destination inside and outside the boundary. Geographic areas add or block delivery after the normal address and fee lookup.

Save a dumping location for a load

  1. Open the dumping-location pin controls for the delivery load.
  2. Wait for the map to load. Pan or zoom to the site, then place the pin where the truck should dump.
  3. Save the pin. Reopen the same load to confirm its saved location.

Each load has its own pin. Moving or zooming the map does not save a pin by itself. Do not save a location when the map is blank or the pin is not clear. Use Skip pin for Load only when that load does not need a confirmed dumping location.

Attach delivery files and notes

  1. Choose Upload delivery files from the delivery or order details.
  2. Choose who should see the files and enter an optional driver note of up to 500 characters.
  3. Open a file to review it, or remove it when it is no longer needed. Uploading disables the controls until the request finishes.

Create a parcel shipment

  1. Open Create Shipment for the order and verify the recipient’s name and address.
  2. Enter the parcel’s length, width, height, and weight. Use packed measurements. Required recipient fields are name, address, city, state, and ZIP.
  3. Select Get Shipping Rates. Choose a returned rate after reviewing provider, service level, amount, and estimated days.
  4. Choose whether to auto-print the label after purchase and whether to send the shipment confirmation email.
  5. Select Buy Label only after a rate is selected. The shipment record and label are saved when the purchase succeeds.

Expected results

The board shows work for the selected date and location. Each stop has one assignment or an action to assign it. Messages follow the choices made at dispatch. A purchased parcel label is saved and can print or email based on the options you choose.

Troubleshooting

  • No stops appear: verify the board date and working location, then use Retry or Retry setup when the board prerequisites report an error.
  • Truck is not available: check in-service status, origin, capacity, compatibility, and driver requirements in Trucks.
  • Fee is not calculated: confirm an applicable tier in Delivery Fees or use an intentional manual choice. A geographic no-delivery area blocks delivery.
  • Customer did not receive a text: check documented consent and the text service status. Use Dispatch without text when the customer should not be messaged.
  • Shipment rate is unavailable: complete required recipient fields, check packed measurements, and verify Shippo setup in Shipping and labels.
  • Route is out of order: use the truck’s move earlier, move later, or manual pairing action, then print the updated driver paperwork.
