Purpose
Set the price customers see for each product. Start with the Retail price, then add prices for Contractor, Wholesale, or custom customer groups. Use a negotiated price for one customer and one product. Use Promotions for a sale or a price that depends on how much a customer buys.
Where to find it
- Open Inventory and select a product to edit. Use its Pricing tab to set Retail and tier prices.
- Open Inventory > Price Books to review and edit prices across products.
- Open Customers, select a customer, then choose Negotiated Prices for a one-customer price.
- In POS, open the current tier under the selected customer to set a tier for one order. For a saved order, open Orders > Edit Order.
Product locationsInventory > product > PricingInventory > Price BooksCustomers > customer > Negotiated PricesPOS or Orders > Edit Order > Pricing tier for this order
Prerequisites and availability
- An administrator or manager can manage product prices and tiers. Price Book maintenance is limited to roles with pricing access.
- Make the product active before adding a price in Price Books. The product must have a Retail price.
- Create a customer before adding a negotiated price or choosing a customer pricing tier.
- A user may need an active manager or administrator to approve an order-only tier change.
Set up product prices
- In Inventory, add a product or open one to edit. Choose the Pricing tab.
- Enter the product’s Retail Price. This is the base price. For delivery products, enter the price per base unit. The optional Margin % shows gross margin from cost and Retail Price.
- Under Pricing Tiers, add a tier price for the product. The built-in choices are Retail, Contractor, and Wholesale. To add another group, choose Create custom tier..., enter its name, and select Create. Then enter that tier’s price.
- Leave a tier price blank when that product should use Retail for the tier. A blank is not a zero price. Choose Save Changes to save the product and its tier prices.
- For a product with a Wholesale price, set both Minimum Order Qty and Order Increments to split a Wholesale-tier order. The minimum is the smallest total that can qualify; the increments are the exact amounts that can receive the Wholesale price. Below the minimum, the whole quantity uses the Contractor price. If only part fits the increments, that part uses Wholesale and the rest uses Contractor. If no Contractor price is saved, FlintPOS uses Retail for the Contractor-priced part. Without both rules, the full quantity uses the Wholesale price.
- To create prices across products, open Inventory > Price Books. Choose a tier, filter by product or category, enter the price, then choose Save price. A blank non-Retail price uses Retail. Choose Clear price and use retail to remove an override.
- Assign the customer’s tier in Customers > customer > Details. Set Type to Retail, Contractor, or Wholesale. Use Pricing tier to pick a saved tier, or leave Use customer type default selected. A saved tier takes the place of the type default.
- For a price for one customer and one product, open that customer’s Negotiated Prices tab. Search for the product, enter a Final price / base unit, then choose Save price. Choose Remove to return to the customer’s regular tier price.
- For a different tier on one sale, choose the tier menu under the customer in POS. Choose Customer default to remove an order-only choice. In Edit Order, save or discard unsaved edits first. Review each line, tax, total, and amount due before payment.
For most product lines, FlintPOS starts with the order’s pricing tier. A saved customer tier takes priority over the customer’s Type; without a saved tier, the Type sets the default. A negotiated price for that customer and product replaces the tier price. If no negotiated price applies, earned pricing can use the lower matching tier price for its category, then a scheduled sale may apply. A quantity offer may lower the eligible order price. Review the final price shown on the order.
A fixed alternate-unit price or an approved manual line price keeps its own value. A negotiated price also keeps its price when you change the order tier. For an order-only tier, Customer default clears the order’s special tier choice. Selecting Retail sets Retail as the order tier. Neither choice changes the customer’s saved tier.
Choose a custom tier for a regular price list shared by a customer group; it does not wait for a purchase target. Earned Pricing changes the best matching tier only after an enrolled customer reaches a category target. A negotiated price is one final price for one customer and one product. For example, if a product is $12 Retail and $9 on a customer’s saved custom tier, a negotiated price of $8.50 applies only to that customer and product. A quantity offer is different again: it depends on buying enough of that same product during the offer dates.
For alternate units, a blank Price Override uses the base-unit price times the unit conversion. A saved override uses the exact price entered. See Inventory for unit setup.
Use Earned Pricing for a tier a customer earns after reaching a category threshold. Use Promotions for dated sales, promotion codes, and product quantity offers.
Volume discounts and wholesale quantities
FlintPOS has two ways to price a larger quantity. A Wholesale rule divides a Wholesale-tier order between Wholesale and Contractor prices. A quantity offer gives a discount for buying a set amount of one product. Set up the kind that matches your price policy. Both the minimum and at least one increment are needed for a Wholesale split. A fixed alternate-unit price skips this split.
Set wholesale minimums and increments
- Open the product’s Pricing tab and add a Wholesale Price.
- Enter a Minimum Order Qty, then add the allowed Order Increments. For example, use a 45-unit minimum with increments of 45 or 60.
- Save the product. With a minimum of 45 and an increment of 45, 44 units get no Wholesale price: all 44 use the Contractor price, or Retail if no Contractor price is saved. At 45, all 45 use Wholesale. At 50, 45 use Wholesale and 5 use Contractor. At 90, all 90 use Wholesale because two 45-unit increments fit. The order shows any split and warning.
| Order size | Wholesale units | Fallback units |
|---|---|---|
| 44 | 0 | 44 |
| 45 | 45 | 0 |
| 50 | 45 | 5 |
| 90 | 90 | 0 |
Fallback units use the Contractor price, or Retail if the Contractor price is blank.
This product rule controls Wholesale prices in POS and saved orders. Storefront has a separate online quantity step that controls what a shopper can request; see Storefront Ordering.
Set a product quantity offer
- Open the product’s Pricing tab and find Quantity offer, or open Promotions and schedule a product offer.
- Choose Quantity discount, BOGO, or Buy one, get the rest. Enter the minimum and discounted unit price for Quantity discount. For the other types, enter the discount percentage.
- Set the start date and an optional end date. Turn on Offer enabled, then choose Schedule quantity offer or Save quantity offer.
- Test with the same product in an order. Compatible alternate units count after conversion to the base unit. Different products do not combine. A negotiated price, manual line price, or fixed alternate-unit price does not count toward the offer quantity.
A Quantity discount price applies to all eligible units after the order reaches its minimum. BOGO discounts every second unit in each pair. Buy one, get the rest keeps the first unit at full price and discounts later units. Quantity offers do not stack on a lower eligible customer price. They save separately from product changes, so check Scheduled sales if you cancel a product edit.
Field and action reference
| Field or action | Meaning and guidance |
|---|---|
| Books and selected book | A price book shows one pricing tier across products. Retail is the base price. A blank price in another book uses the current Retail price. |
| Retail Price / Retail Price ($/unit) | The product’s base selling price. Store products show a price per item. Delivery products show a price per base unit. Enter prices to the nearest cent. |
| Margin % | Gross margin compares the product’s cost with its Retail price. In the product form, changing cost or Retail price updates the margin. Entering a margin calculates a Retail price. |
| Contractor Price ($/unit) | Price for the Contractor tier. Leave it blank to use Retail for this product. |
| Wholesale Price ($/unit) | Price for the Wholesale tier. Leave it blank to use Retail. Adding a Wholesale price shows wholesale quantity rules. |
| Minimum Order Qty and Order Increments | Set both with a Wholesale price to split a Wholesale-tier order. The largest exact sum of increments that reaches the minimum uses Wholesale; the rest uses Contractor. An order below the minimum uses Contractor for the full quantity. If Contractor is blank, FlintPOS uses Retail. |
| Same as retail | A blank Contractor, Wholesale, or custom tier price uses the product’s current Retail price. |
| Custom pricing tier | Create a named tier from Pricing Tiers in the product’s Pricing tab. Add prices to products and assign the tier to customers. A product with no price for that tier uses Retail. |
| Price Override | An optional fixed price for one alternate unit. Leave it blank to calculate that unit’s price from the base price and conversion factor. |
| Bulk price Exact Price / Amount | In Bulk Edit Inventory, choose tiers and an operation. Exact Price replaces the selected tier prices. Increase or decrease changes them by a dollar amount or percentage. A decrease stops at $0.00. |
| Sell Price | The non-negative price used when staff create a product from a scanned barcode at POS. |
| Book name | Required for a new price book. Names can have up to 50 characters. |
| Category scope | All categories is the default. A chosen category also includes its subcategories. Uncategorized products have a separate choice. |
| Search product or SKU | Searches active products in the selected category. Clear the search to see the full list again. |
| Book price | Enter a price of $0.00 or more. Leave a non-Retail price blank to use Retail. |
| Effective price | Shows the price supplied by the selected book after its saved price or Retail fallback is used. |
| Save price / Clear price and use retail | Save the override for this product and tier. Clear removes a non-Retail override. You cannot clear Retail from this page. |
| Previous and Next page | Move through the product list. A new search, category, or book returns to the first page. |
| CSV, PDF, and Email | Download or email the selected book and category. Email needs outbound email setup and accepts up to 10 valid addresses. You can include a customer’s negotiated prices in an emailed list. |
| Final price / base unit | A negotiated price is specific to one customer and product. Enter $0.00 or more per base unit. Remove the saved row to restore the regular tier or Retail price. |
| Customer Pricing tier | Choose a configured tier for the customer, or use the customer’s type default. Maintain tier prices on the product or Price Books page. |
Expected results
The product shows the saved Retail and tier prices. Price Books shows the selected tier’s product price and its effective Retail fallback. POS and saved orders show the price used for that customer and order. A negotiated price applies only to its customer and product.
Troubleshooting
- Product is missing: clear the search, choose All categories, and confirm the product is active.
- A tier price is missing: add that tier to the product and save it. A blank price uses Retail.
- Customer gets the wrong price: check their Type and Pricing tier, then check for a negotiated price, earned tier, sale, quantity offer, or order-only tier. Review the saved order line.
- Tier selector is unavailable: wait for the tier list to load or retry it. In Edit Order, save or discard unsaved changes first. A manager or administrator may need to approve the change.
- Price is rejected: enter a number of $0.00 or more without a currency symbol. Use a blank value only to clear a non-Retail override.
- Email is disabled: set up outbound email in Communications.
