Purpose
Use Point of Sale to build a sale, choose how the customer gets the goods, check the total, and record payment. You can also save a quote before making a sale.
Where to find it
- Open Point of Sale from the merchant workspace.
- Open the register for your shift if it is closed. See Registers.
- Add products, choose the sale location, then pick the order type that matches what the customer needs.
Product locationMerchant workspace > Point of Sale
Before you start
- Choose an available inventory location. The location affects stock and may affect tax.
- Payment choices depend on the register and payment setup. A customer must be attached for account or store-credit payments.
- Use the customer's saved prices and any shown discounts as the starting point. Review the price and tax before taking payment. See Pricing for tier and special prices, Inventory for product setup, and Taxes for tax rules.
- For delivery, confirm the address and fee. See Deliveries and Delivery Fees.
Create and finish an order
- Choose the inventory location. Search for each product, add it to the cart, then check its unit and quantity.
- Select the customer when the sale needs customer pricing, tax documents, delivery, account terms, or store credit. Check the price shown for each line and the order total.
- Choose the order type that matches the handoff:
- Sale: the customer takes the full order now.
- Delivery: staff will deliver some or all of the order. Add the address and delivery details, then review the fee and date.
- Will Call: the customer will pick up the order later. Open Will Call details and choose a pickup location. Add a pickup date and customer if known; both are optional.
- On Account: use only when the customer has approved account terms. This records an amount owed; it does not collect cash.
- Quote: prepare an offer without charging the customer, reserving stock, or scheduling delivery.
- For pickup now plus later pickup and delivery on one order, choose Delivery, expand the product line, and enter Took (picked up now), Future Will Call (picked up later), and Delivery amounts. These three amounts must equal the sold amount. Set the Will Call date and location, then choose Save split. Check the amounts before continuing. See Orders for saved-order fulfillment steps.
- For a customer quote, build the cart and choose Save Quote. Add a customer and at least one item. FlintPOS saves the quote and tries to email it. If the email does not send, keep the saved quote and fix the email issue before retrying. An accepted quote still needs staff review and conversion before it becomes a live order.
- Review the line prices, discounts, tax location, delivery fee, total, and amount due. Fix an error before collecting money.
- Choose a payment method and follow the prompts. For a $0 balance, choose Charge $0.00, then Complete Order. FlintPOS completes the order without creating a payment record.
- Wait for the result, then check the order number, status, balance, and payment history. If a card result is unclear, check the order before trying again. See Payments.
Choose the order type that matches the real handoff because it controls what staff schedule and release later. For example, on a 10-unit order, enter 4 as Took, 2 as Future Will Call, and 4 as Delivery. These amounts total 10. If the amounts total 9 or 11, correct the split before checkout. A quote is only an offer until staff review and convert it.
For ordinary paid POS sales, one receipt can print automatically when receipt routing is set up. Delivery and Will Call slips follow their own print settings. See Printing.
Field and action reference
| Field or action | What it controls |
|---|---|
| Cart location / Cart location required | Selects the inventory location that fulfills the cart. It becomes required when more than one eligible location is available. |
| Promotion code | Enter the customer’s code and apply it. The code is checked against active dates, eligible products, and customer/order rules. |
| Scale | Selects a configured scale for a weight-based line. This control appears only for a supported weight unit and available scale. |
| Apply to Line | Writes the captured scale quantity to the selected cart line. |
| Capture Loaded | Captures the loaded truck weight for the selected scale workflow. |
| Apply Net | Uses the loaded and empty weights to calculate the net item quantity, then applies it to the line. |
| Capture Empty Weight | Captures the empty weight before loading. The net calculation needs both readings. |
| Set shipping details | Opens parcel shipping details for an order when shipping fulfillment is selected. |
| Hide delivery details / Show delivery details | Expands or collapses delivery scheduling fields such as address, date, truck, and fee. |
| Customer and order actions | Add or remove the customer, start a new order, remove a line, edit a line price or quantity, and choose the order type. Each action updates the cart preview before checkout. |
| Loyalty and discount actions | Expand loyalty details, enroll a customer, apply an eligible reward, or apply a saved discount. Items and customer context must be present before the action is enabled. |
| Delivery, pickup, and checkout actions | Choose delivery, pickup, or normal sale; open delivery scheduling; then open checkout only after items and required fulfillment details are complete. |
| Order email handoff | Use Email for sender, recipient, subject, message, and optional purchase-order attachment fields when the POS offers an email action. |
| Purchase-order context | Use Purchasing for purchase-order lookup, supplier, and status details when the POS opens that context. |
Expected results
The order shows the chosen customer, products, prices, tax, fulfillment, and payment result. A quote stays a quote until staff review and convert it. A $0 order has no payment record. A mixed pickup and delivery order keeps one order number and shows each quantity separately.
Troubleshooting
- Wrong price, tax, or fee: check the customer, location, product, address, and order type. Review the updated total before payment.
- Mixed quantities do not save: check that Took + Future Will Call + Delivery equals the sold quantity. Check the pickup date and location.
- Delivery shows too much product: reopen the order and check the recorded pickup quantity before planning the delivery. A pickup entered before a delivery plan is different from changing an active plan.
- Quote email failed or is unclear: open the saved quote and check its status before starting another quote. Fix the customer's email or email setup, then retry the saved quote.
- Payment result is unclear: refresh the order and check payment history and the processor or terminal result. Do not charge again until you know whether the first attempt worked.
- A $0 order will not complete: reload it and review the latest total. If the amount changed, use the normal payment flow when money is due.
