Review sales, money, stock, and hours
Choose a report to review your store’s work. Set its dates and location before you read the totals. You can open details, download a file, or email a report when that option is set up.
Where to find it
- Open Reports from the merchant workspace.
- Choose a report from the report selector. The available list has Sales Summary, Payment Summary, Product Sales, Customer Sales, Tax Summary, Inventory, Receiving, A/R Aging, A/P Aging, Time Clock, Deliveries, Registers, Contractor Statement, Open POs, Vendor Spend, Credit Card Settlements, and Report Builder.
- Use the date and location controls above the report when that report allows them.
Product locationMerchant workspace > Reports
Before you start
- Sign in with a role that can view the merchant reports. Credit Card Settlements is restricted to admin access in the current page.
- Location-scoped reports use the working location. Select All Locations in the workspace when a company-wide view is needed. Company-wide reports such as Registers, A/P Aging, Open POs, Vendor Spend, and Contractor Statement do not use the location selector.
- Email buttons appear only when outbound email is enabled. Set up that service in Communications before sending a report.
- Tax results can contain both TaxJar-calculated and FlintPOS-rate orders. The report displays the source and preserves each order’s saved math.
Run a report
- Open Reports. Choose the report you need.
- Choose the date range. The default is this month through today in the store time zone. Time Clock uses a pay period.
- Check the location badge. Some reports use the working location. Others cover the whole company.
- Read the report’s basis. Accrual reports count sales by the sale date. Cash reports count money collected under that report’s rules.
- Use the search and filters for the report. Open a row to see its details.
- Check the totals and filters before you choose CSV, PDF, Print, or Email.
- For Email, enter 1–10 valid addresses and choose PDF or CSV. If the result is uncertain, check the inbox before you send again.
- For Report Builder, choose a report type, date range, grouping, and at least one measure. Run it and check the results.
Check the day's work
- Choose the report you need. Set the date range and working location.
- For sales, compare products sold, discounts, and tax. For payments, compare money collected by method.
- Open customer balances to review unpaid orders. Create a statement for the customer and dates you need.
- Review delivery and inventory reports for work still open or stock that needs attention.
- For staff hours, open Time Clock and select the pay period.
- Export or email only after you check the filters and totals.
Sales and payments answer different questions. A sale on account can appear before you collect money. Use the same date range, cash or accrual basis, and location type when comparing two reports. Store dates use the store time zone.
Report and field reference
| Control or report | Meaning, default, and useful drilldown |
|---|---|
| Date range and quick presets | The main range defaults to the first day of the current month through today in the store time zone. Today, Week (the previous six days plus today), MTD, YTD, Last Month, and Last Year set both dates. Enter From and To directly for another range. |
| Working location | Location-scoped reports use the chosen working location; All Locations produces a company-wide result. The scope is carried into CSV, PDF, and email metadata so a review can be checked later. |
| Sales Summary | Review sales by order date. Check sales, returns, discounts, tax, and amount due. Open a day or download the orders CSV for more detail. |
| Payment Summary | Choose the payment view and review sale records, payments received, refunds, and collected totals by method and day. Expand a date to see the orders paid by the chosen method. |
| Product Sales | Search by product or SKU. Check units sold, income, cost, and profit. Open a product to see its orders and pricing details. |
| Customer Sales | Search customer and filter by customer type. Review order count, total spent, and outstanding amount by customer. |
| Tax Summary | Check each tax area and rate. Review taxable sales, returns, refunded tax, and tax due. Read the cash or accrual label before comparing totals. |
| Inventory | Search product and filter by category to review stock, cost, price, inventory value, and low-stock status. This report has no date range. |
| Receiving | Review received quantity, base stock quantity, cost total, receipt count, latest receipt, source, and expandable details. Switch between product and supplier views. The chosen date and location set the receipts shown. |
| A/R Aging | Search outstanding customer balances by Total Due and 0–30, 31–60, 61–90, and 90+ day buckets. Expand a customer for outstanding orders. Then open the customer or order record. |
| A/P Aging | Search suppliers and review Current, 1–30, 31–60, 61–90, 90+ day, and Total balances. This is company-wide and does not use the main date or location range. |
| Time Clock | Choose Previous Period, Current Period, Next Period, or a date in the pay period. Review employee summary and time cards. Managers can add or edit employee clock-in/out times, notes, and unpaid break blocks from this report. Payroll hours deduct unpaid time. |
| Deliveries | Choose All trucks or a truck. Review delivery-fee revenue, miles, gallons, fuel, maintenance, truck cost, optional driver cost, total cost, profit, and margin for the chosen period and location. |
| Registers | Choose a register session. Then review opening and closing cash, payment breakdown, session totals, cash movements, and orders or register activity. This report has no main date range. |
| Contractor Statement | Select a customer with an outstanding balance. Expand orders. Then use Email Statement, CSV, or PDF. An email address is needed for the email action. |
| Open POs | Search PO number or supplier and filter All Statuses, Sent, Partial, or Received. Review expected date, ordered, received, open quantity, and outstanding value. |
| Vendor Spend | Search suppliers and review PO count, total ordered, total billed, total paid, and balance for the chosen date range. This report is company-wide. |
| Credit Card Settlements | Use the date range, Sync Settlements when the processor allows it, and select a settlement to inspect linked FlintPOS payments and processor sale records. Review ACH review warnings before retrying a match. |
| Report Builder | Choose Sales & Revenue, P&L & Margin, or Customer Analysis. Customer Type offers All Customers, Retail, Contractor, or Wholesale. Group By offers product, category, customer type, customer, or month as allowed. Columns differ by type: revenue, discounts, COGS, gross profit, margin, order count, average order, and outstanding balance. At least one column must remain chosen. |
| CSV, PDF, Print, and Email | CSV preserves tabular values; PDF formats the visible report; Print opens a printable report when shown. Email accepts 1–10 valid email addresses and PDF or CSV. Outbound email must be set up before the action is enabled. |
Email statements and batch order copies
Send a customer statement
- In Reports, choose Contractor Statement.
- Choose a customer with an open balance. The report lists all open account orders through its current date. It is not a date-range statement.
- Review each order, amount paid, and amount due. Choose Email Statement to email the statement. Use CSV or PDF to save a copy.
- Check the statement email log for when it was sent and which address received it.
Batch order emails
- Open Customers, choose a customer, then find Batch order emails in the customer profile.
- Choose Daily batch or Weekly batch, then choose Save. Daily sends cover the prior day. Weekly sends cover Monday through Sunday. FlintPOS sends a finished period after 8:00 AM in the store's time zone.
- Review the waiting order count. When available, choose Close batch & send to send now. If the last send result is unsure, choose Check or retry batch to check it before sending again.
- Review Last batch for its result. If orders are waiting, a schedule change may be held. Turning batching off can cancel those queued email copies.
A statement shows a customer's open balance. A batch combines order email copies for one customer. Neither action changes the orders or the amount owed.
Check the result
The report header shows the chosen period and scope, and the body updates to the chosen family and filters. Exports contain the same report period and scope. Drilldowns preserve the parent selection while exposing the saved orders, payments, receipts, customers, or authority rows.
Troubleshooting
- Numbers look too broad: check the location badge and choose the intended working location before exporting.
- Today or Week is disabled: set up the store time zone. Those presets use it to calculate dates.
- A report has no date fields: Inventory, A/R Aging, Registers, Contractor Statement, Open POs, A/P Aging, and some purchasing views are current or record-scoped.
- Email is unavailable: set up outbound email in Communications. Then reload Reports.
- Tax totals differ from a sales total: compare the report basis, returns, resale and tax-exempt deductions, TaxJar source, and location scope before reconciling.
- Settlement sync or match fails: verify the processor record first. Do not adjust an order from an unmatched ACH event. Retry only after reviewing the reason.
